Visitor Log Template

Choose your columns and rows to print a visitor log for the front desk.

Choose the columns your front desk needs, the rows per page and the number of pages. You get a ruled visitor sign-in sheet that switches to landscape when there are more than five columns.

Heading

Say who may read the log if you keep names on paper. The wording is an example to edit.

How to use the visitor log template

      1. Enter a title, an optional location and a short note for visitors.
      2. Tick the columns you need: date, name, company, who they are visiting, time in, time out, badge number and signature.
      3. Set the rows per page and the number of pages.
      4. Check the preview, then print the log or save a PDF. Pages with more than five columns print sideways.

      Choosing columns

A short log is easier to complete, so ask for only what you will use. Date, name, who the visitor is seeing, time in and time out cover most front desks. Company helps when visitors are from vendors, a badge number helps when you hand out badges, and a signature gives a record that the person was there. With more than five columns the page turns to landscape so that each column has room to write.

Time out is the column most often left blank, so say on the note that visitors should sign out when they leave. You can also change the note under the title to say who may read the log.

      Privacy and records

A paper log shows every earlier visitor's name to the next person who signs in. For a log where that matters, consider a sign-in method that keeps entries private, or use a note that explains why names are collected and who reads them. How long you keep visitor records and what you may collect depend on your own rules and on local law, which this page does not apply.

For related logs and sheets use the Equipment Checkout Log, the Sign-Up Sheet Generator and the Customer Feedback Form Template. For appointments use the Appointment Card Template.

      Printing

Rows per page run from 5 to 30, and the row height grows when there are fewer rows. Print as many pages as you expect to use before the log is replaced. Everything is made in your browser, and nothing you type is uploaded.

      Assumptions and limits

      • The log is printed on US Letter paper and completed by hand.
      • Pages repeat the same heading and columns, with the same number of rows.
      • The note under the title is an example you can change.
      • The sample location is made up and is there to be replaced.

      Frequently asked questions

What should a visitor log include?

At least the date, the visitor's name, who they are visiting and the times in and out. Add company, a badge number or a signature only if you need them.

Why does the page turn sideways?

With more than five columns, a portrait page leaves each column too narrow to write in. The tool switches to landscape so that every column has room.

How many rows fit on a page?

Choose from 5 to 30. More rows make each row shorter, so pick a number that leaves enough room to write comfortably.

      Is a paper log private?

Not entirely. Anyone who signs in can see earlier names. If that is a concern, use a different way to collect names, and explain on the log how the information is used.
