How to use the meeting agenda and minutes template
- Enter the meeting title, date, start time (24 hour clock, like 09:30), location, facilitator and note taker. All of them are optional.
- List the agenda items, one per line, in the form Topic | Owner | Minutes. Owner and minutes can be left out and minutes default to 10.
- Optionally add a purpose sentence and a list of the people invited.
- Tick Add a minutes page to print a second page with attendance boxes, ruled space for discussion and decisions, and an action items table.
- Press Download PDF or Print. Hand out the agenda before the meeting, and take notes on the minutes page during it.
How the timed agenda is worked out
Each item gets a time box in minutes. The tool starts a clock at your meeting start time and adds the minutes of each item in order, so every item shows the time it should begin. The meeting end time is the start plus the total of all the minutes. For a 9:00 AM meeting with four items of 5, 20, 15 and 10 minutes, the items begin at 9:00, 9:05, 9:25 and 9:40 and the meeting ends at 9:50 after 50 minutes in total.
Times use a 12 hour clock with AM and PM, and they carry across noon and midnight correctly: a 45 minute item starting at 11:40 AM is followed by an item starting at 12:25 PM. If you leave the start time empty, the first column shows item numbers instead and the page shows only the total duration.
Time boxes are a tool for focus, not a rule. Their value is that a visible budget makes it clear when one topic is eating the time of the others. Leave a few minutes at the end for decisions and next steps, and put the items that need decisions early, while people are fresh.
What goes on the minutes page
Minutes record what was decided and who will do what, not everything that was said. The page has the date, the time the meeting was called to order and adjourned, an attendance list with a tick box for each invited person, ruled lines for discussion and decisions, and a table for action items with an owner, a due date and a box to tick when done.
A good action item names one owner and a due date, and is phrased as something that can be finished. After the meeting, send the action items to the group so nothing relies on memory. For official bodies such as boards, check your bylaws for what minutes must contain, since this template is general and not a legal form.
Running a better meeting
Send the agenda ahead with the purpose stated, so people can prepare. Start on time, name a facilitator and a note taker, and park off-topic points for later. Ending early is a gift; ending late is a habit to break. Everything on this page is made in your browser, and nothing you type is uploaded unless you choose to keep it in this browser with the remember box.
Assumptions and limits
- Times are plain clock times with no time zone. The tool does not handle breaks between items, so add a break as its own item.
- Up to 20 agenda items, up to 40 invited names, and each item at most 480 minutes.
- The template is general. It is not a legal form, and organizations with bylaws or public meeting rules may require other content in their minutes.
- The minutes page is blank for handwriting. The tool does not record or transcribe a meeting.
- Only characters the built-in print font can draw appear on the PDF. Emoji and non-Latin scripts print as a question mark.
