      How to use the swot analysis maker

      1. Name the analysis and say what is being analyzed, such as a business idea, a project, a job change or a personal goal.
      2. Type strengths and weaknesses (things inside your control or organization) and opportunities and threats (things outside it), one point per line.
      3. Leave a box empty if you are stuck: with prompting questions on, it shows three questions to get you thinking.
      4. Choose landscape or portrait and whether to number the points, then check the preview.
      5. Press Download PDF or Print. Tick the remember box to keep your points in this browser for later edits.

      What the four boxes mean

      A SWOT analysis sorts what you know about a situation into four groups along two lines. Strengths and weaknesses are internal: they belong to you, your team or your organization, such as skills, money, location, reputation or habits. Opportunities and threats are external: they come from outside, such as customer trends, competitors, regulation, the economy or technology. Strengths and opportunities are helpful to your goal, and weaknesses and threats are harmful to it.

      The printout follows that layout, with Strengths and Weaknesses in the top row, Opportunities and Threats in the bottom row, and the labels Internal, External, Helpful and Harmful along the edges. The headings use a text label as well as a tint, so the boxes can be told apart in black and white.

      Writing useful points

      Be specific. Fast delivery is vague; two day delivery to 90 percent of orders says something you can act on. Include evidence where you have it, such as a number or a customer comment. Keep each point to a line or two, and limit each box to the five to ten most important, since a long list hides what matters. The tool holds up to 30 per box, and shrinks the text from 11 point to 7.5 point before it leaves points off, telling you how many did not fit.

      Do not stop at the list. A SWOT is a starting point. Look for strengths that match opportunities, weaknesses that make a threat worse, and then choose a few actions. It does not give a score or a forecast, and it cannot say which factor matters most. That judgment is yours.

      Uses and limits

      SWOT is used for business plans, marketing, nonprofit strategy, school assignments and personal decisions. It is only as good as the honesty and information behind it, and different people will fill the boxes differently, so it works well as a group exercise. Everything you type stays in your browser. If you tick the remember box, the points are kept in this browser only and can be deleted by unticking it.

      Assumptions and limits

      • The tool arranges what you type. It does not analyze your situation, rank points, or suggest actions.
      • Up to 30 points per box. Points that cannot fit at the smallest text size are listed as left off and are not printed.
      • The prompting questions are general ones and are shown only in empty boxes, and only if you turn them on.
      • The page is US Letter, landscape by default. Portrait gives narrower boxes.
      • Only characters the built-in print font can draw appear on the PDF. Emoji and non-Latin scripts print as a question mark.

      Frequently asked questions

      What is the difference between strengths and opportunities?

      Strengths are internal and already yours, such as a skilled team. Opportunities are external chances you could use, such as a new market. Ask whether it comes from inside or outside.

      How many points should each SWOT box have?

      Five to ten of the most important points usually works best. A long list makes it hard to see what matters. The tool allows up to 30 per box.

      Can I do a personal SWOT analysis?

      Yes. Use your skills and habits for strengths and weaknesses, and job market trends, mentors or education options for opportunities and threats. The same four boxes apply.

      What are the prompting questions for?

      They help when a box is empty, with questions such as what do we do well. They disappear once you add a point to that box, and you can turn them off.

      Will my SWOT points be saved?

      Only if you tick the remember box, and then only in this browser on this device. Nothing is uploaded, and unticking the box deletes the saved copy.

      What should I do after finishing a SWOT?

      Pick a few actions and rank them with the Eisenhower matrix, then agree owners and dates in a meeting agenda.
