How to use the pantry inventory printable

      1. List your places, one per line, such as shelves, a cabinet or a freezer. Up to 12 fit.
      2. Choose how many rows each place gets, from 1 to 28.
      3. Tick or clear the Best by date and Used box columns.
      4. Press Download PDF or Print, then write in each item as you stock the shelf.

      How the sheet is organized

Each place gets its own section with a title bar, column headings and the rows you asked for. Sections are never split across pages, so a shelf stays together. Three places of 10 rows each, which is 30 rows in all, fit two to a page and take two pages.

The columns are item, quantity, best by date, notes and a small box to tick when the item is used up. Item, quantity and notes always print. The best by and used columns are optional, which gives the item column more room when you turn them off.

      Keeping a stock list useful

A stock list is easiest to keep when it matches how you shop. Group by where things live, so you can check a shelf at a glance. Put older items first, and cross them off as you use them. Check labels on packages for their own storage and date guidance.

A list also helps you plan. Take stock before you shop with the Grocery List Maker, decide what to cook with the Meal Planner Printable and price a dish with the Recipe Cost Calculator. For other household routines, see the Home Maintenance Checklist Generator.

      Assumptions and limits

      • The sheet has 1 to 12 places with 1 to 28 rows each.
      • A place is never split across pages.
      • Best by dates are written by hand. The page does not judge whether food is safe.
      • Nothing you type is sent anywhere. The page is made in your browser.

      Frequently asked questions

How do I make a pantry inventory?

List the shelves or places where you store food, print a section for each and write in what you have, with the quantity and a best by date. Update it as you use or add items.

How many rows should each shelf have?

Choose the number of different items you expect on the shelf, plus a few spare. Ten rows suit an average shelf, and you can use up to 28.

Does the sheet tell me when food expires?

No. It has a column for a best by date that you fill in from the package. Follow the label guidance on each item.

Can I use it for a freezer or garage?

Yes. Name the places anything you like, such as Freezer, Garage rack or Basement shelf, and the sheet makes a section for each.
