      How to use the label sheet maker

      1. Pick an Example layout or choose Custom, then enter the columns, rows, label width and height, left and top margins and the gaps between labels, all in inches. Measure your sheet with a ruler.
      2. Type the text for your labels. Put a blank line between labels, and keep the lines of one label together, such as a name and address.
      3. Choose Repeat the labels to fill the whole sheet or Print each once to make as many sheets as you need. Use Start at label number to reuse a partly used sheet.
      4. Print the Alignment test on plain paper first, hold it against your label sheet in front of a light, and adjust the margins until the outlines line up.
      5. Press Download PDF or Print with the scale set to 100 percent or Actual size, then print the labels.

      Measuring a label sheet

      Every grid of labels is described by eight numbers: how many columns and rows there are, the width and height of one label, how far the first label is from the left and top edges of the paper, and the gaps between labels across and down. Many sheets have no gap between rows, so the vertical gap is zero, while the horizontal gap is often about an eighth of an inch.

      Measure from the paper edge to the first label edge for the margins, then from one label edge to the same edge of the next label for the pitch. The gap is the pitch minus the label size. The tool adds it all up and checks that the whole grid fits on the 8.5 by 11 inch page. If the total is too wide or too tall it tells you by how much, so you can find a typing mistake before wasting paper.

      The example layouts are common arrangements, such as 3 columns by 10 rows of 2.625 by 1 inch labels. They are starting points, not a claim that a particular product has these dimensions, and no brand compatibility is claimed. Always compare them with your own sheet.

      Alignment and true size

      Printers shift the page by a few hundredths of an inch, and many cannot print right to the paper edge. The alignment test page outlines and numbers every label with a small cross at its center. Print it on plain paper at 100 percent, lay it over the real sheet and look through both against a window. If everything is offset the same amount, change the left and top margins by that amount and test again.

      Browsers and PDF viewers can shrink pages to fit the printer margins, which changes every measurement. Choose 100 percent, Actual size or None in the print dialog. The PDF made here carries no footer or logo on the page, because a footer would land on the bottom row of labels.

      Fitting text on a label

      Text is sized so every line of a label fits both the width and the height, starting from the largest size you allow and shrinking in half point steps down to 5 points. When a label has more than one line the first line is bold, which suits a name above an address. Lines that are still too wide at the smallest size are shortened with an ellipsis rather than spilling onto the next label.

      With Repeat the labels, your blocks of text cycle to fill every label from the start position, so one address fills the entire sheet and three addresses repeat in turn. With Print each once, each block is printed a single time and extra sheets are added as needed. Everything is made in your browser and nothing is uploaded.

      Assumptions and limits

      • The page is US Letter, 8.5 by 11 inches, in portrait. Other paper sizes and rounded label corners are not modeled.
      • Dimensions are taken exactly as typed, to three decimals of an inch. Printed accuracy depends on the printer, the paper and printing at 100 percent.
      • Example layouts are generic arrangements and are not specific to any product or brand. Measure your own sheet and compare.
      • Characters the built-in print font cannot draw, such as emoji, print as a question mark. Text is plain, with the first line bold on multi-line labels.

      Frequently asked questions

      How do I make sure the labels line up with my sheet?

      Print the alignment test page on plain paper at 100 percent, then hold it over the label sheet against a light. Adjust the left and top margins by the amount of any shift and test again before using real labels.

      Does this work with a specific brand of label sheets?

      It makes no claim about brands or product numbers. Enter the measurements of your sheet and check alignment with the test page. The example layouts are only common grid shapes.

      Can I reuse a sheet that already has some labels removed?

      Yes. Set Start at label number to the first remaining label, counting across and then down. Earlier positions stay blank, so the used ones are skipped.

      Why is there no footer on the PDF?

      Labels often cover the whole height of the sheet, so a footer would print over the last row. The PDF contains only your outlines, test marks and text.

      What happens if my numbers are too large for the page?

      The tool adds up the margins, labels and gaps and shows how many inches wide or tall the grid is compared with the page, so you can fix the entry. No page is drawn until the grid fits. For other printable sheets try the name tag maker.
