      How to use the business letter generator

      1. Fill in the Sender block with your name, optional company, address and contact. Add the Recipient name, title, company and address.
      2. Set the Date, an optional Subject line and, if you like, your own Greeting. Leave the greeting empty and the tool writes Dear followed by the recipient name, or To Whom It May Concern when there is none.
      3. Write the Body, separating paragraphs with a blank line. Choose a Closing and add enclosures or copies if needed.
      4. Check the preview, then press Copy letter text, Download PDF or Print.
      5. Sign the printed letter above your typed name, or paste the text into your email program.

      Full block format

      Full block is the simplest standard layout for a business letter. Every line, from the sender block to the signature, starts at the left margin, and paragraphs are separated by a blank line instead of an indent. The order is fixed: sender, date, recipient, an optional subject line, the greeting, the body, the closing, space for a signature and then your typed name. Enclosures and copy lines go at the bottom.

      The page is US Letter with one inch margins on every side. Text is set in 11 point Helvetica with comfortable line spacing, long paragraphs wrap to the margin, and a letter that runs past one page continues on the next with a top margin, never leaving the closing alone at the bottom. About 40 points, a little over half an inch, is left between the closing and your typed name for a handwritten signature.

      Writing a letter that works

      State the purpose in the first sentence. A reader opening a business letter wants to know why you are writing before anything else. Give the details they need in the middle paragraphs, keeping each paragraph to one idea, and end with what you would like to happen next, with a date if you have one.

      Use the subject line for letters about a specific order, account or case, because it lets the reader file it correctly. Match the closing to the relationship: Sincerely suits most letters, Respectfully suits formal letters to officials, and Best regards is a little warmer.

      Limits and privacy

      This tool lays out text you write. It does not check facts, tone or legal wording, and it does not turn a draft into a contract. The result is a template layout, not legal advice, and letters with legal consequences, such as demands or notices, should be reviewed by a qualified professional. The tool prints plain text only, with no logo, so use the letterhead generator when you want a company header.

      Assumptions and limits

      • The layout is full block format on US Letter paper with one inch margins. Other styles such as modified block, and other paper sizes, are not offered.
      • The tool does not check the wording, spelling, facts or legal effect of what you write. It is a template layout and not legal advice.
      • A greeting is added only when the field is left empty. If you type your own, it is used exactly as written.
      • Characters the built-in print font cannot draw, such as emoji or non-Latin scripts, print as a question mark.

      What is full block letter format?

      It is a business letter layout where every element is aligned to the left margin and paragraphs are separated by blank lines with no indents. It is the quickest style to read and the one this tool uses.

      How much space should I leave for a signature?

      About half an inch between the closing and your typed name. The generated letter leaves that space, so you can sign by hand after printing.

      What greeting does the tool use if I leave it blank?

      It writes Dear and the recipient name followed by a colon, or To Whom It May Concern when no recipient name is given. Type your own greeting to override that.

      Does this make a legally binding letter?

      No. It only formats the text you write and is a template layout, not legal advice. Have letters with legal consequences checked by a qualified professional before you send them.

      Is my letter uploaded?

      No. The letter is laid out and turned into a PDF in your browser. Nothing is sent to a server, and saved entries, if you choose them, stay in your own browser.
