How to use the printable weekly planner
- Choose which day the week starts on and the first and last hours you want on the grid, for example 7 AM to 9 PM.
- Optionally enter any date in the week. The planner works out the start of that week and prints the date under each day.
- Add repeating blocks, one per line, in the form days, start to end, label. For example: Mon-Fri 9am-5pm Work, or Tue,Thu 6pm-7pm Gym.
- Turn the top priorities and notes boxes on or off, then check the preview.
- Press Download PDF or Print. The planner is one landscape US Letter page.
Writing repeating blocks
A block line has three parts: the days, a start and end time, and a label. Days can be a single day (Mon), a range (Mon-Fri), a list (Mon,Wed,Fri), or the words weekdays, weekends and daily. A range that runs past the weekend, such as Fri-Mon, wraps correctly and covers Friday, Saturday, Sunday and Monday. Times can be written as 9am, 9:30am, 5:15pm or in 24 hour form such as 17:00.
Start and end times must be in order. If you write 9-5 the tool cannot tell whether 5 means morning or afternoon, so it asks you to add am or pm, or use 24 hour times. Every line that cannot be read is listed with the line quoted, and nothing is printed until the lines are fixed, so a typo never silently drops a block.
Blocks that overlap on the same day are drawn side by side, each taking an equal share of the column, so a meeting inside a work block is still visible. Blocks that start before your first hour or end after your last hour are cut to the grid you chose.
Choosing the grid
The grid shows one row for each hour with a dotted line at the half hour. A working day from 7 AM to 9 PM is 14 rows. The planner allows up to 16 hours so each row stays tall enough to write in; for an all-day view choose two pages with different ranges. With the top priorities and notes boxes on, rows shrink slightly to leave space for them.
Weeks that start on Monday are the usual choice for work and school, while many calendars in the United States start on Sunday. The tool uses the real calendar to work out the date of each column: if you enter Wednesday, October 14, 2026 and choose Monday starts, the heading reads Week of Oct 12, 2026 and the columns run through Sunday, October 18. A Sunday date belongs to the week before when Monday is the first day.
Planning tips
Put fixed commitments in as repeating blocks first, then use the empty space on the printout for things that change, such as appointments and errands. Write priorities for the week in the box before you fill in the grid. Leave some white space: a plan that fills every hour has no room for what goes wrong.
Assumptions and limits
- Times are written with a plain clock and no time zone, so daylight saving changes are not modeled. The planner is a paper form.
- The planner prints one week per page. Print as many copies as you need, changing the date for each.
- Up to 16 hours per page. Block labels are shrunk to fit and may be shortened if the block is very short.
- Only characters the built-in print font can draw appear on the PDF. Emoji and non-Latin scripts print as a question mark.
- Saved blocks and options are kept only if you tick the remember box, and only in this browser.
Frequently asked questions
How do I add something that happens every week?
Type a line in the repeating blocks box, such as Mon-Fri 9am-5pm Work. It is drawn in each listed day at the right height, so it prints already filled in on every copy of the planner.
Can the week start on Sunday?
Yes. Choose Sunday in the week starts on menu. The columns and the dates under them follow your choice.
Why does it say my end time must be after the start time?
A block such as 9-5 is ambiguous without am or pm. Write 9am-5pm or 09:00-17:00, and make sure the end is later than the start on the same day.
How many hours can the grid show?
Up to 16 hours, for example 6 AM to 10 PM. More than that would make the rows too short to write in on one page.
Does it include dates?
Enter any date in the week and each column gets its date, along with a Week of heading. Leave the date empty for a blank planner you can use any week.
