How to use the one on one meeting template

      1. Type the manager, the employee and the meeting date, or leave them blank to write by hand.
      2. Add any agenda items you already know, one per line, and choose how many agenda lines to print in total.
      3. Choose the number of action item rows and tick the sections you want: wins, challenges and feedback.
      4. Print the sheet. Use the agenda to guide the meeting and the table to record who does what by when.

      The default sheet

With 3 agenda lines and 5 action item rows, the page prints the numbers 1, 2 and 3 on the agenda, two writing lines for each of the wins, challenges and feedback sections, and a table of 5 rows with the columns action item, owner, due and a done box.

If you type two agenda items and ask for 3 lines, the two items print and one numbered blank line follows. Typing more items than lines prints all of your items. The sheet continues onto a second page if you ask for many rows.

A shared page for a regular meeting

A one on one works best when both people know what will be discussed and what was agreed. The numbered agenda lines let either person add topics before the meeting. The sections for wins, challenges and feedback give a place to write what came up, and the action items table records the follow up so that it is not lost.

The sheet is only a layout. It does not suggest topics or judge a person's performance, and what you write on it is for you and the person you meet.

      Making it a habit

Print a new sheet for each meeting and keep the old ones in a folder, so that last time's action items are easy to check at the start of the next meeting. Fill in the Next meeting line before you finish.

For meetings with several people and timed agenda items, use the meeting agenda and minutes template. For longer goals, see the goal tracker planner and the OKR template maker, and for sharing project progress the project status report template.

      Assumptions and limits

      • The sheet is US Letter, portrait.
      • Agenda lines run from 0 to 10 and action rows from 1 to 12.
      • Sections you turn off are left out and the others move up.
      • The tool prints your text and does not store the meeting notes you write by hand.

      Frequently asked questions

What should a one on one meeting agenda include?

Many managers cover progress since last time, challenges, feedback and next steps. Add the topics that matter to the two of you.

How is this different from a meeting agenda template?

A one on one sheet is for two people and has wins, challenges and feedback sections. The meeting agenda template times several agenda items for a group.

      Can I pre-fill the agenda?

Yes. Type items in the agenda box, one per line. Blank numbered lines follow up to the count you choose.

How many action items can I print?

From 1 to 12 rows. Each row has an owner, a due date and a done box.
