How to use the raci matrix template
- List the people or roles, one per line, from 2 to 10.
- List the tasks, one per line. After a colon, add assignments as Name=Letter, for example Draft the brief: Ana=R, Ben=A.
- Use R for responsible, A for accountable, C for consulted and I for informed. Write A/R when one person holds two roles.
- Print the matrix. Tasks without assignments print as blank rows, and the notes point out tasks that may need attention.
Five tasks and four people
Five tasks and four people print a 5 by 4 grid, with the tasks down the side and Ana, Ben, Cy and Dee across the top, plus a legend explaining the four letters. A cell holds a letter such as R, A, C or I, or A/R when one person has two roles.
The tool checks the tasks you filled in. If a task has two A marks or none, or no R, a note appears under the preview, because many teams give each task exactly one accountable person. A task with no assignments is not checked, since it is meant to be filled in by hand.
What the letters mean
A RACI matrix answers who does what for each task. Responsible means doing the work, accountable means answering for the result, consulted means giving input before a decision, and informed means being told afterward. The grid makes gaps and overlaps easy to see, such as a task with nobody accountable.
Some teams use variations of these letters. The tool follows the four most common and flags only simple counts, and it is your team that decides what the roles mean.
Keeping the matrix usable
Keep the task list to the main deliverables and the people list to those who really take part. More than 5 people prints the sheet in landscape so that names are readable. Share the matrix at the start of a project and update it when roles change.
For planning tasks and dates see the project planner template. The standard operating procedure template documents how a task is done, the risk register template tracks what could go wrong, and the project status report template reports progress.
Assumptions and limits
- Up to 10 people and 20 tasks fit.
- Each person is listed once and names in assignments must match the list, ignoring capitals.
- The checks for one A and at least one R are a common convention, not a rule.
- The sheet prints in landscape when there are more than 5 people.
Frequently asked questions
What does RACI stand for?
Responsible, Accountable, Consulted and Informed. Each person on a task is given one or more of these roles.
How many accountable people should a task have?
Many teams give each task exactly one. The tool notes tasks with none or more than one, but the decision is yours.
How do I enter assignments?
Type the task, a colon, then pairs such as Ana=R, Ben=A. Use A/R for two roles.
Can I print a blank matrix?
Yes. List tasks without a colon and they print as empty rows to fill in by hand.
