    How to use the email signature generator

    1. Fill in your name, job title, company, phone, email, website and an optional address. Leave out anything you do not want in the signature.
    2. Add links such as a profile page, one per line, written as Label | https://address. Only http and https addresses are accepted.
    3. Choose a layout, accent color, font and text size. The preview updates as you type.
    4. Press Copy for pasting and paste into your email program's signature box, or press Copy HTML code if the program has an HTML signature option.
    5. Send yourself a test message and check it on a phone as well as a computer, because email programs draw some styles differently.

    What the signature contains

    The signature is a small HTML table with inline styles. Email programs strip or ignore most modern web features, so tables and inline styles are the part that works almost everywhere. The name is set larger and bold, followed by your title and company, then one line with your phone, email and website, an optional address and your links. Layouts are either a colored bar down the left side or a short underline below the text.

    The HTML contains no images, no scripts, no web fonts and no external requests. That keeps it light, avoids the blocked images that many programs show as empty boxes, and means there is nothing in it that can track who opened your message. Fonts are common system font stacks, so the signature appears in a similar face on most devices.

    Your phone number becomes a tap-to-call link, your email a mailto link and your website a normal link. Links you type are checked first: only web addresses that start with http or https, or a bare domain such as example.com, are linked. Anything else, including addresses with spaces, quotes or a script scheme, is shown as plain text or left out, and you are told which.

    Copying it into your email program

    There are two ways to copy. Copy for pasting puts the formatted signature on your clipboard, which you can paste into the signature box of programs that accept formatted text. Copy HTML code copies the source, which you paste into programs that offer an HTML or source view for signatures, or into a text editor first.

    Programs differ. Some convert pasted text to their own style, some ask for the signature in a settings page, and a few do not allow pasted HTML at all. If your program mangles it, try the other layout or paste as plain text and add the formatting yourself. The tool cannot see how your program will display the result, so always test.

    Safety and privacy

    Everything you type is escaped before it goes into the HTML, so characters like angle brackets and quotation marks appear as text and cannot change the structure of the signature. Nothing is uploaded: the preview and code are built in your browser. If you tick Remember, your details are stored in this browser only and can be removed by unticking the box.     Assumptions and limits

    • The signature uses inline styles and a table layout for compatibility. It has no images, logos, social icons, banners or tracking pixels.
    • Fonts are system font stacks (sans serif, serif or monospace). The face you see depends on the reader's device.
    • Links must be http or https web addresses. Phone numbers need 7 to 15 digits to become call links, and emails must look valid to become mail links.
    • Email programs may restyle or strip parts of an HTML signature, so test it by sending yourself a message.

    Frequently asked questions

    Does the signature include images or tracking?

    No. It is plain HTML with inline styles, with no images, scripts or external requests. That means nothing to block, nothing to load and nothing that reports when a message is opened.

    How do I add the signature to Gmail or Outlook?

    Open the signature setting in your email program, press Copy for pasting here, and paste into the signature box. If the program has an HTML option, use Copy HTML code instead. Then send yourself a test.

    Why was my website or link left out?

    Only http and https addresses, or plain domains like example.com, are linked. Entries with spaces, quotes or other schemes such as javascript are refused for safety and the tool tells you which line it ignored.

    Is the HTML safe to paste?

    Every value you type is escaped, so markup you enter appears as text instead of being run, and links are limited to web addresses. The result contains only a table, text and links.

    Are my details stored?

    Only in your own browser, and only if you tick Remember. Nothing is sent to a server. Untick the box to delete the saved copy.
