        A partial delivery

An order is for 12 widgets, 6 cables and 20 brackets. The driver delivers all 12 widgets, 4 of the 6 cables and the full 20 brackets. Enter 12 and 12 for the widgets, 6 and 4 for the cables, and 20 with Delivered left empty for the brackets.

The note totals 38 ordered and 36 delivered, with 2 backordered, and shows the 2 missing cables in the Backordered column. A signature line at the bottom lets the receiver confirm the goods arrived in good order.

        What a delivery note records

A delivery note travels with the goods and lists what is in the shipment. It carries no prices. The person receiving the goods checks it against what arrived, signs it, and keeps a copy, which makes it useful evidence if a quantity is later disputed. It also helps match the delivery against a purchase order and the supplier's invoice.

A good note shows who sent it and who it is for, the date, a reference to the order, and each item with its quantity. Showing ordered, delivered and backordered quantities together makes short shipments easy to spot. To raise the order itself, use the purchase order generator, and for the bill that follows, the invoice generator.

        Quantities and limits

Quantities can have up to three decimals, so you can record 2.5 meters or 0.125 tons. They are added exactly, with no rounding. Backordered is the ordered quantity minus the delivered quantity and is never below zero, so a delivery of more than was ordered shows no backorder.

Up to 80 items fit, and the note runs over to more pages when needed. It is a template for your records. For a list of things to pack, see the packing list generator.

        Privacy

The note is made in your browser and nothing is uploaded. Remembering your entries is optional, and they stay in this browser only.

        Assumptions and limits

        • Quantities are plain numbers with up to three decimals. The tool does not know units, so write the unit in the description if it matters.
        • A blank delivered quantity means the ordered quantity arrived in full.
        • The note carries no prices or tax. It is not an invoice.
        • Sample items, names and numbers are examples to replace.

        Frequently asked questions

Is a delivery note the same as a packing slip?

They are very close. Both list the contents of a shipment without prices. A delivery note usually adds a place for the receiver to sign, and this template includes one.

Why does the note show backordered items?

Because a short delivery needs a record of what is still owed. Backordered is the difference between what was ordered and what arrived, so both parties can see what is missing.

Can I record a delivery of more than was ordered?

Yes. Enter the larger delivered quantity. The note shows no backorder for that line, and the totals reflect what was delivered.

        Should the receiver sign it?

A signature and date from the person who received the goods are the usual proof of delivery. The template leaves a line for each, and a note that goods are received in good order unless noted.
