How this was calculated
  1. Flat costs = $176.00. Per child costs = $9.00 per child x 16 = $144.00.
  2. Total = $176.00 + $144.00 = $320.00.
  3. Cost per child = $320.00 / 16 = 20, shown as $20.00. Flat costs shrink per child as the guest list grows.
  • Prices are the ones you enter, so check each against a quote. Adult guests, tax, tips and any extra venue fees can be added as flat or per child lines.

How to use the birthday party cost calculator

  1. Enter the number of children.
  2. List each cost and choose whether it is a flat amount (venue, cake, decorations) or charged per child (food, favors, activities).
  3. Read the headline for the cost per child, and the stats for flat costs, per child costs and the total.
  4. Use the second table to see the total and the cost per child at other guest counts.

Formula

flat costs = sum of the flat amounts

per child costs = sum of the per child amounts x number of children

total = flat costs + per child costs; cost per child = total / children

Money is rounded to the cent. Flat costs are spread over more children as the guest list grows, so the cost per child falls while the total rises.

16 children

Flat costs: venue $100, cake $40 and decorations $36 add to $176. Per child costs: food and drinks $6 plus favors $3 is $9 per child, or 16 x $9 = $144. The total is $176 + $144 = $320, which is $20.00 per child.

At other guest counts: 8 children cost $248 ($31.00 each), 12 cost $284 ($23.67 each), 20 cost $356 ($17.80 each) and 25 cost $401 ($16.04 each).

Flat or per child

The split matters when you are deciding how many to invite. A venue fee is the same for 8 children or 25, while food and favors rise with each guest. Putting each cost on the right side shows how much one more child really adds, which is the per child total, here $9, and how the flat costs spread out.

If an item has a minimum, such as food sold in packs, treat the minimum as a flat cost or adjust the per child price. If adults will attend, add their food as a separate per child line only if the count is the same, or set up a second list for them.

Planning the rest

For the food itself, the Party Food and Drink Quantity Calculator estimates amounts and the Catering Cost per Head Calculator handles a caterer's quote. The Party Planner Printable and the Guest List Manager cover the schedule and the RSVPs.

Assumptions and limits

  • Every cost is a number you enter. No prices are assumed.
  • Per child costs apply to the number of children you enter, not to adults.
  • Tax, tips and delivery can be added as flat or per child lines.
  • Cost per child is the total divided by children, rounded to the cent.

Frequently asked questions

How much does a birthday party cost per child?

Add the flat costs and the per child costs times the number of children, then divide by the children. With $176 flat and $9 per child for 16 children, the total is $320 and the cost per child is $20. Your numbers will differ.

Why does the cost per child fall as more children come?

Because flat costs like the venue and the cake are shared among more children. The per child costs stay the same, so the average falls even though the total rises. The second table shows it for several guest counts.

What should I count as a flat cost?

Anything you pay once regardless of how many guests: the venue, a performer, the cake and decorations. Count food, favors and activity kits per child, because they scale with the number of guests.

Can I include adult guests?

Add their cost as a line. If it depends on how many adults come, enter it as a flat amount for your expected number, or run the page a second time with the adult count and add the totals.
