How to use the moving cost calculator
- Gather your quotes and rates: a truck rental or mover quote, packing supplies, storage, lodging and any other costs. This tool does not know prices, so you supply them.
- Fill in only the lines that apply. For a truck, enter the daily rate, days, miles and any per-mile fee. For fuel, add miles per gallon and the fuel price. For movers, enter the hourly rate for the crew and the hours.
- Add anything else under Other costs, then set a cushion for surprises. The default is 10 percent.
- Read the total, the table of your costs and the checklist note listing categories you left at $0. Copy, print or save the result. The example option fills in made-up numbers so you can see how it works.
Formula
Truck rental = daily rate x days. Mileage fee = miles x fee per mile
Fuel = miles / miles per gallon x price per gallon
Movers = hourly crew rate x hours. Storage = monthly cost x months. Lodging = per night x nights
Subtotal = sum of every line you entered, each rounded to the cent
Total = subtotal + subtotal x cushion %
Every number is multiplied from what you enter. The tool has no price data, and a blank line counts as $0 and is listed in the checklist note.
Worked examples
The example local move (made-up numbers): a one-day truck at $60.00, a 25-mile trip with a $0.80 per-mile fee ($20.00), fuel at 10 miles per gallon and $3.50 a gallon (2.5 gallons, $8.75), $150.00 of boxes, $40.00 of moving insurance and $60.00 of tips. The costs total $338.75. A 10 percent cushion is $33.88 and the total is $372.63.
Hired movers: a crew quoted at $150 an hour for 3 hours is $450. Add two months of storage at $90 ($180), two nights of lodging at $110 ($220) and a $350 piano mover entered under Other costs. With no cushion the total is $1,200.00.
Checklist note: in the first example, movers, storage, lodging, utility fees and cleaning are still $0, and the note lists them so you can decide whether each one applies to your move.
A budget built from your own numbers
Moving costs vary too much by distance, season, home size and company for any single price to be useful. Instead of guessing, this tool multiplies the quotes and rates you enter and adds them up. That keeps every dollar traceable to a source you chose, and it means the answer is only as good as your inputs. Ask for written quotes and check what they include.
Costs people often forget
The checklist note flags the categories you left at $0. Common misses include fuel for a rental truck, mileage fees, packing supplies, insurance or valuation coverage, a deposit or connection fee for utilities, cleaning at the old home, tips, and lodging and meals on a long drive. One-time housing costs also matter. A partial first month of rent can be worked out with the proration calculator, and buying costs with the closing cost calculator.
Fuel can also be checked on its own with the fuel cost calculator, which is helpful if you are comparing driving yourself with a different route or vehicle.
Choosing a cushion
Moves tend to run over a first quote because of extra items, longer hours or fees that were not in the estimate. The cushion adds a percent of your subtotal so the total leaves room. The default is only a starting point you can change to 0 or any figure you think fits. A larger or more complicated move is a better reason to raise it.
Assumptions and limits
- The tool contains no price data. Every cost is a quantity times a rate that you enter.
- Fuel is calculated as miles divided by miles per gallon, times the price per gallon, and needs all three values.
- A blank line is treated as $0 and listed in the checklist note, which is a reminder and not a statement that you need it.
- The cushion is a simple percent of the subtotal that you choose.
- Taxes, weight or volume fees not in your quote, damage claims, lost work time and refundable deposits are not modeled. This is an estimate, not a quote.
Frequently asked questions
How much does it cost to move?
It depends on distance, home size, season and whether you hire movers or drive a truck yourself. This tool does not guess. It adds up the quotes and rates you enter so the total reflects your own move.
How do I estimate fuel for a moving truck?
Divide the miles by the truck's miles per gallon to get gallons, then multiply by the price per gallon. Rental companies often list mileage figures, and a loaded truck may get less than the rating.
What is the cushion for?
It is an extra percent added to the subtotal to cover costs that appear after the first quote, such as more hours, extra items or fees. You can set it to zero if your quotes are fixed.
Why does the result list categories at $0?
The checklist note names common cost types you did not enter so you can check whether they apply. It is only a reminder, and nothing is added for those lines.
Can I add costs that are not on the form?
Yes. Use the Other costs rows to add a named item and its amount, such as a storage unit deposit or a specialty mover. Each one is included in the total and the table.
