How to use the bartender staffing calculator
- Enter the number of guests.
- Enter the guests per bartender you want to plan for. The box starts with an example that you can change.
- Optionally enter the hours of bar service and the cost per bartender hour to price the staffing.
- Read the number of bartenders, the guests per bartender at that staffing, and the cost.
Formula
Bartenders = guests / guests per bartender, rounded up (at least 1)
Guests per bartender when staffed = guests / bartenders
Cost = bartenders x hours x cost per hour
The ratio is your planning assumption. The tool does not say what ratio an event needs.
100 guests at 50 guests per bartender
100 / 50 = 2, so 2 bartenders, and each serves 50 guests. With 101 guests the division gives 2.02, which is rounded up to 3 bartenders, so each serves about 33.7 guests.
For 5 hours of service at $25 per bartender hour, 2 bartenders cost 2 x 5 x $25 = $250.00. Change the ratio to 1 bartender per 40 guests and the same 100 guests need 3 bartenders.
Why the ratio is an input
How many guests one bartender can serve depends on the menu, how many drinks each guest has, whether service is a full bar or beer and wine, and whether there are runners. A ratio that suits one event may be wrong for another. The starting value of 50 is an example so that the tool shows a result, and you should change it to match what your bar team or caterer advises.
Rounding up means you never plan for fewer bartenders than the ratio calls for, and every event needs at least one.
Pricing and planning
Staffing cost here is only wages for the hours you enter. Setup time, tips, bar backs, licensing and venue rules are separate. To estimate drinks and food, use the party food and drink calculator. For a total per guest, try the catering cost per head calculator, and for a larger celebration the wedding budget calculator.
The dance floor size calculator sizes another part of the room for the same guest count.
Assumptions and limits
- The guests per bartender ratio is an example value that you can change.
- Every bartender is paid the same rate for the same hours.
- Bar backs, setup time, tips and licensing are not modeled.
- Hours and rate must both be entered to price the staffing.
Frequently asked questions
How many bartenders do I need for 100 guests?
At 1 bartender per 50 guests, 2 bartenders. The ratio is your own planning number, so change it to match your event.
Why does the tool round up?
A fraction of a bartender cannot be hired. Rounding up keeps each bartender at or below the ratio you chose.
How is the staffing cost worked out?
Multiply the number of bartenders by the hours and the cost per hour. Two bartenders for 5 hours at $25 cost $250.
Does the tool include tips?
No. It prices only the hours and rate you enter. Tips, setup and other charges are for you to add.
